What are we doing with AI? How will it change the way my team works? Can we build courses faster? Your leadership is likely asking the same things. Other teams share their AI results online and at conferences, so it&#8217;s easy to assume everyone else is further ahead.[\/vc_column_text][vc_empty_space height=&#8221;16px&#8221;][vc_column_text]In fact, most organizations spent the past couple of years watching and waiting before committing to AI. The latest data from Training Industry shows that many have only moved from pilots to scaling in the last six to twelve months. Over the same period, L&amp;D&#8217;s focus has shifted from AI skills and enablement to how AI changes everyday workflows.[\/vc_column_text][vc_empty_space height=&#8221;16px&#8221;][vc_column_text]Under pressure to catch up, many teams focus their efforts on tools. Learning leaders who are further along, and already seeing early signs of success, take a vastly different approach.[\/vc_column_text][vc_empty_space height=&#8221;16px&#8221;][vc_column_text]\n<ul>\n<li>First, they decide which work AI should change, such as course design, content development or editorial review.<\/li>\n<li>Next, they win over two groups: the stakeholders who need to trust AI-assisted work, and the team members who will use the tools every day.<\/li>\n<li>Then, before anyone asks, they define what return the business should expect, including benefits beyond cost savings.<\/li>\n<\/ul>\n[\/vc_column_text][vc_empty_space height=&#8221;28px&#8221;][vc_column_text]<strong style=\"font-size: 24px;\">Start with the work AI should change<\/strong>[\/vc_column_text][vc_empty_space height=&#8221;8px&#8221;][vc_column_text]When leadership asks what L&amp;D is doing with AI, it&#8217;s tempting to answer with the tools the team has rolled out: an AI assistant for every employee, a new video tool, a pilot in one part of the workflow. The problem with this is that a list of tools doesn&#8217;t explain what AI has solved.[\/vc_column_text][vc_empty_space height=&#8221;16px&#8221;][vc_column_text]Teams with good results often begin by mapping their own work. They look at each stage of how content gets built, from design through development, editing and publishing, and decide where AI can make the biggest difference. That decision then shapes what tools they need, how they set them up and how they measure success.[\/vc_column_text][vc_empty_space height=&#8221;16px&#8221;][vc_column_text]The issues to be solved vary widely from team to team. Some teams need to change how they work at every stage of content production. Others need to produce far more content with the same number of people, or shift the focus of their training programs, for example from product training to role-based skills. Two teams can both say they use AI and be working toward very different outcomes.[\/vc_column_text][vc_empty_space height=&#8221;16px&#8221;][vc_column_text]How a team sets up AI matters as well. Once the work is mapped, AI needs the same context any new team member would get. AI agents, for example, that are trained on a team&#8217;s own standards and guidelines apply those standards consistently across every piece of content.[\/vc_column_text][vc_empty_space height=&#8221;16px&#8221;][vc_column_text]Three common assumptions can also send teams in the wrong direction:[\/vc_column_text][vc_empty_space height=&#8221;16px&#8221;][vc_column_text]\n<ul>\n<li><strong>You have to choose one AI model and stick with it<\/strong>. In practice, teams often use several models and match each one to the task. One model might handle technical documentation and spreadsheets better, while another might be better at turning methodliogy documents into short podcasts.<\/li>\n<li><strong>AI costs a flat monthly fee per person<\/strong>. Costs depend on how much you use it and which model you choose.<\/li>\n<li><strong>Adoption happens all at once<\/strong>. Teams bring AI into one workflow at a time and keep refining what they&#8217;ve already built.<\/li>\n<\/ul>\n[\/vc_column_text][vc_empty_space height=&#8221;16px&#8221;][vc_column_text]Once a team knows which work will change, it also knows whose work will change. That is where the people side begins.[\/vc_column_text][vc_empty_space height=&#8221;28px&#8221;][vc_column_text]<strong style=\"font-size: 24px;\">Win over the people who need to trust and use AI<br \/>\n<\/strong>[\/vc_column_text][vc_empty_space height=&#8221;8px&#8221;][vc_column_text]Approving tools and connecting systems is only part of adopting AI. Changing how people work takes as much effort, because every shift in a workflow affects both the team producing content and the stakeholders who rely on it.[\/vc_column_text][vc_empty_space height=&#8221;16px&#8221;][vc_column_text]Adoption depends on two groups with different concerns. Business stakeholders judge AI-assisted content against the standard they already expect, so their acceptance rests on confidence in the quality and consistency of the output. Within the L&amp;D team, the concern is more personal: often it&#8217;s what AI means for each person&#8217;s role. Leaders who gain traction treat this as an internal sales effort. They make the case for what AI takes off people&#8217;s plates and the work it makes room for in return.[\/vc_column_text][vc_empty_space height=&#8221;16px&#8221;][vc_column_text]At Sify Digital Learning, we&#8217;ve seen roles evolve as AI moves into the workflow. Teams often progress from writing prompts, to building agents, to building reusable skills. Individual styles give way to shared templates and standards, which lets the whole team move faster. Teams work in cycles where AI drafts, a person reviews and AI revises, with subject matter experts validating the final content. AI speeds up production, yet people stay accountable for quality, and removing that accountability would create risk.[\/vc_column_text][vc_empty_space height=&#8221;16px&#8221;][vc_column_text]Enterprise governance adds another group to win over. Approval for a new AI tool can take months, so building on tools the organization has already approved is often the fastest adoption route.[\/vc_column_text][vc_empty_space height=&#8221;16px&#8221;][vc_column_text]As AI becomes part of how L&amp;D operates, stakeholders will want to know whether it is worth the investment.[\/vc_column_text][vc_empty_space height=&#8221;28px&#8221;][vc_column_text]<strong style=\"font-size: 24px;\">Define the return before others define it for you<\/strong>[\/vc_column_text][vc_empty_space height=&#8221;8px&#8221;][vc_column_text]When stakeholders ask whether AI is worth the investment, L&amp;D needs an answer ready. If the team hasn&#8217;t defined what value looks like, the business will judge AI on cost against whatever savings the team can claim. That is a narrow basis for judging work that changes how a team operates.[\/vc_column_text][vc_empty_space height=&#8221;16px&#8221;][vc_column_text]The work a team chooses to change also tells it what to measure. If AI is meant to shorten design cycles, design time is the measure that matters. If the goal is greater output without additional headcount, the measure is output per person. Returns beyond cost belong in the business case too: time handed back to the team, capacity to experiment with new learning formats, more consistent quality and stronger team morale.[\/vc_column_text][vc_empty_space height=&#8221;16px&#8221;][vc_column_text]Timing also affects how those returns show up. An investment can look expensive in the short term and still prove sound over a longer period.
